Administrative Assistant

​General Purpose

Perform a wide range of administrative and office support activities for Vanik Council UK and/or committee members to facilitate the efficient operation of the charity organization.

Main Job Tasks and Responsibilities

  • General clerical duties including photocopying and mailing.
  • Receive, send and respond to email messages.
  • Perform research as needed.
  • Maintain filing system.
  • Communicate effectively to all parties involved.
  • Answer telephone and direct calls as appropriate.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails.
  • Schedule and coordinate meetings, events, appointments and travel arrangements for members.
  • Open, sort and distribute correspondence.
  • Analyse data and provide a results summary from data collected at organised events.
  • Assist in coordinating event organisations.

Education and Experience

  • Computer skills and knowledge of Microsoft products (Word, Excel, Powerpoint).
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
  • Knowledge of principles and practices of basic office management.

Administrative Assistant Skills and Qualifications

Knowledge of:

Have an understanding of the operation of all office equipment such as a computer, printer, copier, and calculator/adding machine. Must possess Intermediate computer skills. The ability to use Microsoft Word, Excel, Outlook.

Ability to:

Plan, organise, and implement routine and special projects assigned. Be able to work and act in a professional manner. The ability to communicate clearly and effectively is required.

​Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this position. The employee most often works in an office environment however must be willing to travel at organised events. Attendance at evening and weekend meetings/events is sometimes required.

This is a part-time (6 hours per week maximum) position.
